Evening Receptionist (Part-time)

Location: Minneapolis metro area in Minnesota
Type: Part-time; In-office; 20 hours per week (weeknights Monday-Thursday, 2-7pm)

Position Summary:
Premier Sport Psychology is seeking a weeknight evening Receptionist/Inside Sales Representative who will be responsible for front desk coverage during weekday evenings (Monday-Thursday) to support current and future clients, staff, and the overall business with client scheduling and support additional administrative duties. This individual is the first point of contact for our clients (in person, via phone and/or email). The ideal candidate prioritizes customer service and satisfaction by providing a welcoming environment and responsive tone each day. The Receptionist/Inside Sales Representative is expected to work up to 20 hours per week and will report to the Director of Operations. This person will ensure Premier Sport Psychology/Premier Performance Advising is organized and able to conduct business each day and strive to keep our office functioning and presentable to the highest level.

In between client calls and visits, or when not working in the reception department, this individual will be responsible for prospecting and bringing new client opportunities to the Premier team. A target market will be established with the Director of Operations. This individual will help identify, initiate and schedule introductions to the correct businesses and contacts of the target market.  

Responsibilities include, but are not limited to:

  • Check in and welcome all office visitors and clients
  • Organize, schedule and maintain staff/client calendar and appointments
  • Answer phones and emails, with a primary goal to address client/prospective client-needs
  • Responding to prospective client inquiries, appointment requests, or current client concerns within 24 hours
  • Sell services or products over the phone, email or another remote platform
  • Assist other business development personnel with the sales process of lead generation and follow up through a CRM system
  • Cold call/email prospective clients
  • Facilitate the client intake process from the moment of inquiry to scheduling the client for an individual session with one of our sport psychology and mental performance professionals
  • Present available services to current or prospective clients
  • Prioritize call-backs daily for clients/prospective clients
  • Maintain paperwork and/or filing systems (i.e., documentation/files for providers, EMR billing, updates to paperwork, etc.),
  • Order and maintain stock of office supplies (e.g., books, assessments/testing materials, refreshments/coffee/snacks, etc.)
  • Assist with client scheduling as needed and directed
  • Serve as the back-up coverage for the Office Coordinator
  • Participate in special events (i.e., both coverage during promotional events)
  • Emphasize benefits of services and/or products to current/prospective clients
  • Work closely with the Office Coordinator, Intake Specialist, Director of Operations, and Vice President of Clinical Services
  • Maintain cleanliness of entire office
  • Other duties as assigned (i.e., assist with administrative activities, etc.)

Required Qualifications, Knowledge, Skills & Abilities:

  • At least 2 years of customer service experience or equivalent experience
  • Has a client-first mentality
  • Must be comfortable with cold calling/emailing clients
  • Ability to successfully manage stressful situations in a professional manner
  • Growth-minded

  • Adept with Microsoft Office Suite and Google Workspace

  • Professional, ethical, and upholds HIPAA compliance
  • Customer service experience preferred
  • EMR system experience preferred (i.e., Simple Practice)
  • CMR system experience preferred
