Position Summary:
The Executive Assistant and Project Coordinator is responsible for providing executive support to the President of Premier Sport Psychology and is an integral part of the success of PSP. This role serves as a key resource for keeping project execution on track both internally as well as with client engagements and will develop documents and presentation materials that support the business. An ideal candidate for this role is detail- and action-oriented, proactive, collaborative, learns quickly, can hustle, and enjoys working in a fast-paced environment. This position requires the candidate to work independently to set goals for projects and initiatives and to provide clear instructions and expectations to members participating in any given project or initiative. The Executive Assistant and Project Coordinator will maintain a standard of professionalism and confidentiality regarding employees and clients, at all times.

Responsibilities include, but are not limited to:

  • Draft and customize presentations and other business documents
  • Manage the execution of project timelines and deliverables, as well as external and internal client expectations
  • Serve as a point of contact for direct communication with clients, internal stakeholders, and/or third-party vendors
  • Participate in client-facing meetings (drive preparation, agenda, meeting notes)
  • Collaborate on continuous quality and process improvement and provide quality assurance for others
  • Communicate and collaborate with internal leaders effectively to maintain progression of projects and initiatives
  • Maintain daily schedules including internal meetings, conference calls involving multiple time zones, video conferences and client meetings
  • Assist with other duties such as travel coordination, file maintenance, copying, answering calls, meeting planning, and other office projects as needed
  • Promote and maintain the positive company culture and relationships and uphold company values

Education, Experience & Other Qualifications:

  • Must be able to work with little supervision, be detail oriented, flexible in terms of hours and responsibilities as work requires, and able to organize and manage multiple priorities and deadlines
  • Client facing experience preferred
  • High level of professionalism and ability to work with senior level executives
  • Proficiency in MS Word, Excel, and PowerPoint, and G Suite
  • Communicates effectively and builds strong relationships internally and with clients
  • Maintains a team-oriented and growth mindset and a desire to work collaboratively in support of the team
